Catering Events

What forms of payment do you accept? Credit cards (Visa, MasterCard, Discover, and American Express) and checks. For on-campus customers, you can pay with credit cards, checks, or a campus billing chart-string number.

Can I come in the day before the event to set up? If there are no events before your scheduled event date, you may come in and drop off materials and/or setup. If there is an event scheduled, the earliest you may come to set up is on the day of the event 60 minutes before the event start time.

How do I book an event? To book, simply contact us at 510.643.4314. After an initial conversation to understand your needs, we will arrange a site visit, provide an initial cost estimate, and begin the process of making your event a success.

What happens after the site visit? After a site visit, we create a contract from the discussed details for your review. To reserve your date, you will need to sign our Terms & Conditions and send it to us with your scheduled deposit.

When do I need to commit to a date and room? It is best to commit to a date and room as soon as you are ready to move forward.

What are the average prices for events held at Clark Kerr Conference Center? Pricing varies for each event depending on a number of factors including event size, space requirements, and any enhancements desired.

Catering To-Go and Delivery

How far in advance must I place my order? We encourage you to place the order as soon as you have the date and time your order will be needed. Final orders should be placed by 12 p.m., (2) business days before your scheduled delivery.

I have a meeting on the weekends, can I order coffee service? Weekend deliveries are available with a minimum order of $500 per order. Alternatively, you can also pick up your order from Clark Kerr.

I would like to order a menu that is not listed on the website. How can I do that? If you are interested in other menu options, please contact our Sales Office at 510.643.4314 to discuss with one of our experienced Event Sales Coordinators.

How late can you deliver? We can deliver as late as you’d like! Deliveries after 4 p.m. must meet a minimum order of $500.

I placed my order online, but I did not receive a confirmation? Confirmations will be emailed within 24 hours of placing the order.

I need to cancel my catering order. How do I do it? To avoid a cancellation fee, the order must be cancelled by 12 p.m. two (2) business days before the scheduled delivery. Orders cancelled less than 48 hours prior to delivery will be charged 50% of your total order. Same day cancellations will be charged 100% of your total order. Please contact our To-Go Office at 510.642.6292 to cancel your order.

I’m not a staff member or student at the University, can I still place an order? Absolutely! Please visit our ordering website to create an account.

How can I place a catering order? You can start by creating an account on the ordering website. Once your account is created, you can place an order, track your previous orders, and duplicate orders for future dates.

Where do you deliver? We deliver to the UC Berkeley campus. Delivery to University Village in Albany, Campus Shared Services on Fourth Street, UCOP in Oakland, LBNL, and LHS can be arranged. These orders will be subject to a delivery charge of 10% of the order subtotal.

In order to provide payment, my company needs a signed copy of a W-9 and a few other forms. Can you provide it? Yes. Please contact our sales office (510.643.4314, catering@berkeley.edu) and in the subject line, please include “Payments: Company Name | Invoice/Reference # | Event Name” and attach any documents that need to be completed.

When do I need to pay for the order? If you are paying by chart-string, payment is required during the ordering process before you submit the order. If you are paying by credit card, payment must be received by your delivery date.

Can you accommodate any dietary restrictions? We have vegetarian, vegan, and gluten-free options available – please visit our online menu (PDF).

Conferences

Are there any sleeping rooms with disabled access? Yes, our facilities are ADA compliant. Please contact your Events and Conferences Coordinator to request a wheelchair accessible room or other disability-related living accommodations.

Is parking available? Yes. Parking is available in University Parking Lots. Parking permits are required and must be placed on the dashboard of each vehicle. For detailed information, please refer to our Getting Here webpage.

Do you have catering? Yes. Catering and refreshment services are available. Please consult with a Events and Conferences Coordinator for detailed menus.

Can we serve alcohol at our event? Yes. Alcoholic beverages may be served on University premises. However, your event must be approved by campus Major Event Policy’s vetting process.  Please consult with a Events and Conferences Coordinator for more details.

How do I get to UC Berkeley and the residential facilities? Please refer to our Getting Here webpage for driving directions or information about public transportation.

Is housing available during the academic year? Accommodations are only available during the summer. We have connections with nearby hotels and can assist you with your reservations.

What size groups can be accommodated? We can accommodate groups of 10 to 3,000 people.

Do I need to be campus-affiliated? No. Campus affiliation is not a requirement.

Do I need insurance? Yes. Please talk with your Events and Conferences Coordinator for current requirements.

When should I make my payment? We require a deposit of $50 per person to secure your reservation for housing. Your full payment is due with your Housing List, two weeks prior to the start of your program.

What if I need to cancel my reservation? The deposit is nonrefundable and you will be financially responsible for a percentage of the contracted overnight accommodations. Please speak with a Events and Conferences Coordinator for more information.

Are there internet connections in the sleeping rooms? UC Berkeley provides complimentary wireless internet for visitors on campus. When searching for a wireless network, select CalVisitor to get online. This service is available in all rooms and buildings across campus. Are sleeping rooms and meeting rooms air-conditioned? No. Our mild climate and morning fog keep Berkeley comfortable throughout the summer, except for a few days a year.

Can special dietary needs be accommodated? Yes. The residence hall dining facilities provide a variety of meal options, including vegetarian and vegan selections. Although not guaranteed, most special diets may be accommodated within our regular offerings.

What type of conferences most use UC Berkeley residence halls? Youth groups, academic programs, sports camps, scientific groups, learned societies, language programs, and associations. Our facilities host a variety of groups from around the world who come to UC Berkeley to exchange ideas and learn.

Venues

May I book an event at California Memorial Stadium during football season? Yes, however, please note that during football season, events are not booked before, on, or immediately after a home football game.

Do I need to provide insurance to rent space with Events & Conferences? Yes, you must provide insurance to rent space in any and all of our venues. Prior to your event, you must deliver a Certificate of Insurance to Event Sales and Catering Operations.
